Terms and Conditions
- In these terms and conditions, ‘you’ means all persons named on the booking (including anyone who is added or substituted at a later date) and ‘we’ and ‘us’ means Ultimate Wildlife Adventures. ‘The event’ means any package, accommodation, or activity organised by us and ‘supplier’ means the company or person that is providing the event or any part of it. ‘Price’ means the total cost of the event. On occasions due to circumstances beyond our control the terms may be amended; please note that the terms that you receive on confirmation of booking are the terms that are valid.

- Application of These Terms & Conditions
These terms and conditions govern the contract between you and us to the exclusion of all other terms and conditions except for those implied by law, and no variation to these terms and conditions shall be valid unless in writing and signed by you and the company director.A contract will exist between both parties once you have made your booking with us, paid your deposit (or such other fee as may be appropriate, for example where you are making a ‘late booking’) and we have issued you with our booking confirmation.
- Changes to these Terms and Conditions
On occasion, we may need to make changes to these terms and conditions. Any changes can only be made by us and not any third party member. We reserve the right to amend or improve these terms and conditions without prior notification. When it is necessary for changes to be made, we will forward you a copy of these changes and all reservations will abide by the amended terms, except for reservations already made.
- Jurisdiction
Ultimate Wildlife Adventures is incorporated in England and Wales and therefore it operates under the laws of England and Wales. Your contract with us and matters arising out of it will be governed by the laws of England and Wales.
- Bookings
We are committed to providing you with a holiday itinerary that suits the needs of you and any other guests on your booking. Once we have established your perfect itinerary we will provide you with a written quotation. Please may we encourage you to thoroughly check the finite details to ensure you are satisfied with the quotation and itinerary before booking and making payment.
- Inclusions & Exclusions
A comprehensive list of inclusions and exclusions will be detailed on your quotation and again on your booking confirmation.
- Payment & deposits
In order to book your holiday a non-refundable, non-transferable deposit of 30% of the total amount payable must be received before any arrangements are put in place. Balance payments must be received no later than 60 days before departure. If bookings are made within 60 days of departure full payment is due at the time of booking. On occasion, some bookings may require a larger deposit and balance payment earlier than the aforementioned 60 days. We will provide you with notification of this at the time of booking should this be the case. Should you fail to pay your deposit or balance on or prior to the specified date you shall be deemed to have cancelled the event. If after this time you instruct us to continue with your booking an additional £20.00 per person late payment charge will be added to your booking.
- Payment methods
Payments can be made with a valid credit card or debit card, online bank transfers or cheque(s) made payable to Ultimate Wildlife Adventures Ltd. If a promised cheque is not received or does not clear upon presentation we hold the right to cancel the reservation. Non-clearing or returned unpaid cheque will incur a £30.00 transaction charge. There are no fees for any payment method.
- Prices
The prices quoted prior to booking, on our website or on any other marketing material are correct at the time of publication. In the event of any change in our prices to those stated we will notify you prior to accepting your booking. All our prices are quoted in GBP £ Sterling. After receiving your deposit and sending you your written booking confirmation the price is fixed except for unforeseen changes such as governmental tax increases or increases in park fees or conservation fees. In such circumstances we must pass this increase on to you.
- Cancellation by us
We reserve the right to cancel any part of or your entire booking with us only under exceptional circumstances. If we or our suppliers believe there is a risk to your safety we will notify you of your booking cancellation or part of it in writing. Safety threats may include but are not exclusive of, adverse weather conditions including natural disasters, terrorism, political unrest or other safety concerns deemed as unacceptable and which cannot reasonably be overcome. Other reasons we may cancel your booking for is; if a supplier or suppliers are unable to host the event for any reason; If changes you wish to make to the booking mean it is uneconomical or impractical to hold the event. If we cancel the whole of the event we shall use our best endeavours to rearrange the event on a mutually convenient date, or provide a refund to you of the cost to us of the event. Save as above we shall be under no further liability to you for cancellation of the event or any part of it.
- Cancellation by you
You may cancel your booking at any given time. All cancellations must be made in writing from the lead name on the booking. Cancellations made 90 days or more in advance of the travel date incur a loss of your deposit only. Should the booking be cancelled within 89 days or less of the date of travel then 100% of the entire cost of the booking is chargeable.
- Alterations made by us
If due to circumstances beyond our control it becomes necessary to substitute an alternative supplier, or make any other alterations to the event (including accommodation) we shall inform you of the changes in writing as soon as possible. If the cost of such alterations is greater than that of the original we will add this to your balance. Alternatively if the cost is less than that of the original we will pass on any savings to you by reducing your final balance. In such cases we will write to you and will provide you with an up to date invoice. If the changes are, in the view of Ultimate Wildlife Adventures Ltd, so substantial as to materially alter the event and you are unwilling to accept them then you may cancel the event and we will give a refund of the cost of the event to us.
- Alterations made by you
We shall try to accommodate any reasonable changes you wish to make to the event. Alterations and amendment requests should be made with us and not end suppliers and should be made in writing to us by the lead name. These changes shall not be deemed accepted until we have confirmed in writing to you. If you wish to increase or decrease the number of persons participating in the event you may do this up to 90 days prior to the date upon which your event is due to start. Amendments after that date will incur our administration charge of £10.00 per person. Changes such as arrival / departure dates and destination changes will also be subject to our administration charges. We cannot guarantee that the change to the price will be pro-rata, but will depend upon the arrangements we are able to make with our suppliers. Subject to our written agreement you may transfer your booking to a person who satisfies all the conditions applicable to the event.
- Your Obligations
You shall always behave in a safe, responsible and courteous manner; comply with all instructions; regulations and codes of practice issued by us or our suppliers; ensure that you comply with all age restrictions imposed by our suppliers; ensure that you comply with all arrival times, and dress appropriately for the event. If you breach these obligations we may cancel or curtail the event or any part of it and in those circumstances you shall not be entitled to any refund. You shall take out insurance suitable for your needs (including delays for events involving travel by land, sea, or air) before the event.
- Our Obligations
We shall take reasonable care and skill in arranging the event and comply with all applicable laws in relation to the event; where ever possible, re-schedule the event instead of cancelling or offer a refund to you of the cost to us of the event.
- Safety
Your safety whilst participating in any holiday organised by us is of paramount importance to us. Our trips are all located in authentic, wilderness areas inhabited by potentially dangerous animals. Risk remains low and incidences of serious injury are rare. However, by booking one of our holidays you are agreeing to accept the risk posed to yourself and any other member within your group. You must at all times follow the instructions of the guides and staff of our local operators. Should an individual be overly confident, eager or reckless in approaching an animal, the participant may risk being withdrawn from the holiday.
- Disclaimer
All information we provide including on our website and other marketing platforms is given in good faith and is to the best of our knowledge a fair and up-to-date representation whether it is of a national park, reserve, wildlife, accommodation, food, security, animal visibility, itineraries or weather. We pride ourselves on our accuracy of information however do not accept liability or responsibility for any errors caused by circumstances out of our control.The packages we design are based on the best available knowledge and research and provides our customers with the best possible chances of watching wildlife as promised in our literature. However, we encourage you to be aware that these are wild animals living in extremely large wilderness areas and although you will be guided by expert guides we do not accept any liability should you fail to see a specific species you have travelled to see.
- Insurance
We stipulate that you must have suitable travel insurance prior to travelling with us. We advise that your insurance policy covers the following: repatriation, emergency evacuation and search and rescue, cancellation or curtailment, medical expenses, loss of luggage, death, illness, loss or theft of personal property. All travellers that book with us must have proof that their travel insurance covers the travel period fully and written proof of policy must be sent through to us prior to departure, along with the insurer’s details and your policy number. Please note that more adventurous activities such as tracking wild animals, white water-rafting, scuba diving and crossing canopy walkways should also be covered and may require a higher level of cover. We recommend checking your policy cover accordingly.
- Complaints
In the unlikely event you are not happy with any element of your holiday we encourage you to discuss this with the relevant persons to allow them the opportunity to rectify any grievances you may have. Should you feel the need to submit a formal written complaint to us then please do so within 28 days of conclusion of the event. Written complaints outside this timescale are regrettably unable to be accepted by us. All eligible complaints will be investigated to conclusion within 14 days.
- Data Protection
The protection of your personal information or data is extremely important to us. In order to respond to an enquiry, process and fulfil your booking or send you a brochure or other promotional material, we need to collect personal data from you. We will only process your personal data in accordance with our Privacy Policy for or in connection with the purpose for which you have provided it (for example, arranging your holiday) or as you have consented to our using it (for example, to send you marketing material) or as permitted by data protection laws. Since 25th May 2018 you and your personal data are protected by the EU General Data Protection Regulation (which is otherwise known as GDPR). We refer to this legislation as data protection laws. Ultimate Wildlife Adventures Ltd is a data controller of your personal data. We take appropriate technical and organisational measures to protect against unauthorised or unlawful processing of personal data and against accidental loss or destruction of, or damage to, personal data, which is appropriate to the harm that might result.You may ask us what personal data of yours is being held or processed, for what purpose and to whom it may be or has been disclosed. You may also withdraw your consent to receiving marketing material or other communications from us at any time by unsubscribing to our e-mails or otherwise contacting us. If you have any complaint about the way in which your personal data has been dealt with, please let us know by e-mail to enquiries@ultimatewildlifeadventures.com. We will investigate and respond to you as soon as we reasonably can. If you remain dissatisfied, you may complain to the Information Commissioner’s Office.
